We would like to inform you that as of 1 February 2026, Raben Logistics Polska will join the mandatory National e-Invoicing System (KSeF).
Below, we present two sections of information:
Section I – for companies holding a Polish Tax Identification Number (NIP),
Section II – for companies registered outside Poland (without a Polish NIP).
This information is for the persons responsible for issuing, receiving or posting invoices.
SECTION I – Information for companies holding a Polish Tax Identification Number (NIP)
As of 01/02/2026, all invoices issued by us will be available in the KSeF system, from which you will download them directly.
At the same time, we would like to remind you that although some businesses have been granted a later implementation date, from 1 April 2026 all taxpayers holding a Polish NIP (TIN) will be obliged to send and receive invoices via the government-operated KSeF platform.
1. How to download our invoices from KSeF?
Invoices issued after 01/02/2026 will be available once you log into the KSeF system. You may easily find them by searching using Polish TIN (NIP) of particular Raben company (in case of Raben Logistics Polska TIN (NIP) is: 7773249627). Please note that specification documents will not be available in KSeF.
2. What will you receive from us?
Despite the obligation to use KSeF, for your convenience we will continue to send the following documents in the current manner:
a non-fiscal document resembling the current invoice together with a specification of billed services – combined in a single PDF file,
a visual representation of the invoice generated in KSeF (PDF).
These documents are for reference only — the official document remains the invoice available in KSeF.
3. What should your company prepare?
To properly receive invoices in KSeF, your company should:
hold an active KSeF profile,
ensure that responsible people have been granted the appropriate permissions,
(optionally) integrate your accounting or ERP system with KSeF,
prepare for mandatory KSeF usage no later than 01/04/2026.
Additional information is available on the Ministry of Finance website – link.
4. Invoices issued before 01/02/2026
Documents issued before this date will continue to be provided in the current form (PDF/e-mail).
SECTION II – Information for companies registered outside Poland (without a Polish NIP)
If your company does not hold a Polish Tax Identification Number (NIP) and is registered outside the territory of Poland, the planned changes regarding the mandatory use of KSeF do not impose any obligation on you to download our invoices from the system.
For such entities:
there is no requirement to create a KSeF profile,
there is no obligation to download invoices from KSeF independently,
invoices and service specifications will continue to be sent in the current manner (e.g. as PDF files via e-mail).
In practice, this means that the way you receive invoices from Raben Logistics Polska will not change, and the use of KSeF remains on our side as the issuer’s obligation.
